When the Tools Come First, the Vision Gets Foggy
“I just need to figure out what software to use.”
It sounds like a reasonable next step when you're starting a business. But if you’re still getting clear on your direction, your audience, and your first offering, here’s a tough truth:
Choosing tech tools too early often becomes a clever way to avoid hard decisions. Instead of naming the real problems we need to solve, we start collecting solutions.
And before we know it, we’re drowning in browser tabs about email platforms, productivity apps, and project management dashboards—none of which actually move the business forward.
A Costly Shortcut That Taught Me What Not to Do
When I launched my part-time accounting practice in 2001, someone told me about a lesser-known bookkeeping tool. “My bookkeeper says it’s awesome,” they said.
That was good enough for me. I ordered it right away.
I struggled to install it. The instructions were minimal, and it wasn’t intuitive. After a short time, I put it aside and forgot about it. In the end, I bought the tool I already knew anyway—more expensive, yes, but far more useful.
Looking back, my mistake wasn’t just buying the wrong software. It was skipping the essential question:
“Does this actually meet my needs?”
It is possible it might have met my needs if I’d been able to get it going. But if I’d paused to identify what I needed and done my research first, I would’ve saved money, time, and frustration.
Start With the Core Functions You Actually Need
Don’t start by researching tools. Start by understanding the essential functions that every new entrepreneur has to cover, regardless of industry. Here are some of the most common ones:
As a new entrepreneur, you don’t need 30 tools. You need to start with the right 5 — chosen based on your business’s actual needs and how you naturally work best. You can build from there later.
What I Use (and Why That Matters)
I’ve tried a number of tools over the years, and I only stick with the ones that make a real difference.
I evaluate each one through a beginner’s lens. I’m not trying to build a perfect tech stack—I’m trying to build a business that works.
For example:
Notion is powerful. But if you don’t need a centralized digital workspace right now, it’s just noise.
On the other hand, depending on what I’m organizing at the time, I often find Trello useful. Other times, it’s a mind map on paper or Excel spreadsheet.
This approach isn’t about which tool is best. It’s about what problem you’re trying to solve today.
A Simple Tool Evaluation Checklist
Before you adopt any new app or platform, try this short litmus test:
✅ Does this solve a real problem I actually have?
✅ Will I use this at least weekly—or will it collect dust?
✅ Is there a simpler or cheaper version that covers 80% of what I need?
✅ Can I try it for free before committing?
✅ Does it match my skill level and available time to learn it?
If the answer is “no” to most of these, then it’s probably not time for that tool.

Build a Toolbox That Works for You
There’s nothing wrong with exploring new tools. But only do this when it serves your growth, not if you are fearful of starting messy.
Checking out tools is good. But intentional, focused experimentation is better.
